Executive Assistant to CEO

Employment Type: Full- Time

Type: In-Office, Mon-Fri.

Pay Range: $75-85,000/ yr.

Our client, growing Construction firm is seeking an experienced Executive Assistant to provide high level support to the CEO and senior leadership team. This position is vital to ensuring smooth daily operations, efficient time management, and coordination across various departments. The ideal candidate will be proactive, detail-oriented, and have excellent communication skills.

Responsibilities

  • Calendar Management: Oversee and manage the CEO's calendar, scheduling meetings, appointments, and travel. Proactively resolve scheduling conflicts and prioritize meetings.

  • Travel Coordination: Organize complex travel arrangements, including flights, accommodations, and transportation, ensuring all logistics align with the CEO’s travel preferences and schedule.

  • Document Preparation: Draft and edit correspondence, reports, and presentations for senior leadership. Prepare documents for meetings and client presentations, ensuring accuracy and professionalism.

  • Project Coordination: Support project teams by scheduling meetings with clients, subcontractors, and suppliers, and assist with tracking project milestones and deadlines.

  • Expense Management: Process and reconcile expense reports, ensuring compliance with company policies, and maintaining accurate records for financial tracking.

  • Communication Management: Manage incoming calls, emails, and correspondence for the executive team. Screen calls and act as a liaison between the leadership team and internal/external contacts.

  • Event Planning: Coordinate company events, meetings, and corporate functions. Ensure all logistics are handled smoothly, from venue selection to catering and materials.

  • File and Document Management: Organize and maintain filing systems for company contracts, client agreements, project documents, and other important records.

Qualifications

​

  • 3 - 5 + years of experience supporting C-level executive and/or leadership team,  preferably in a construction, engineering, or related field.

  • A bachelor’s degree in Business Administration, Construction Management, or a related field is preferred.

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and project management software.

  • Ability to work independently and anticipate the needs of the executive team

  • Experience coordinating domestic/international travel & expense reporting

  • Ability to handle sensitive information with discretion and professionalism.

  • Adaptable w/ the ability to pivot duties when new priorities/plans arise

  • Strong verbal & written communication skills

  • Must be organized, detail- oriented with the ability to multi-task

  • Personable & proactive- You have a positive attitude and an ability to problem solve and take initiative
